Position Summary
The Scheduling Coordinator at Thomas Interiors (TI) is responsible for scheduling of installers, deliveries and pickups, ensuring maximum productivity and optimizing material delivery with careful planning strategies to allow for efficient installations.

Responsibilities

  • Schedule TI Installations with a goal of having this set 72 hours in advance and 1 week in advance for any overtime projects
  • Assign installers to projects based on the skill level needed per project scope
  • Draw up master schedule to establish client requested time lines of each project
  • Meet weekly with each individual Project Manager (PM) and Associate Project Manager (APM) to review their status report and confirm their scheduling needs
  • Review requests from Account Leaders on upcoming projects and confirm their scheduling needs
  • Schedule non-PM projects by contacting the client and reviewing the scope with them
  • Able to give progress updates and adjust the plan to accommodate areas that are running behind
  • Prepare daily Installation Packets and confirm they are complete while double checking that the work orders are consistent with the Installation drawings and the scope of the project
  • Daily review of the installation schedule with the Operations Team Lead, Warehouse Supervisor and Loading team
  • Confirm with the loading team the specific truck requirements for each project
  • Update scheduling and staff spreadsheets at the end of each day
  • Communicate to the PM, APM, or AL which Lead Installer has been assigned to their projects by noon the day before

 

Qualifications

  • Able to have flexible hours within the work day depending on the scheduling needs
  • Experience in scheduling multiple projects daily and adjusting schedules and personnel as needed
  • Experience in contract furniture, installation of contract furniture or related field
  • Proficiency in Microsoft Office Suite
  • Extremely organized, detail oriented and able to meet tight deadlines on a daily basis
  • Excellent communication skills with individuals at various levels of an organization
  • Must be able to multitask and prioritize
